Duties & Responsibilities
- Engineering and project support (50%): maintain contracts folders and project files; collate and file site reports, COCs, and contract documentation; track project milestones and flag outstanding items; compile and distribute progress reports; coordinate data pack preparation for handover; provide general administrative support to the engineering team
- Document control and reporting (20%): ensure documents are correctly named, stored, and retrievable; complete and distribute quotes, invoices, and site reports; maintain an auditable folder structure; coordinate timesheet collection and filing
- Scheduling and logistics coordination (20%): coordinate site visits and technician movements; track logs and calendars; follow up on procurement and deliveries
- Communication and client coordination (10%): facilitate client updates; handle follow-up correspondence; serve as a point of contact for project queries
Experience & Qualifications
- Matric (Grade 12) required, with a diploma or certificate in Business Administration, Office Management, or a related field
- Minimum 2 years' experience in an administrative or coordination role
- Demonstrated ability to manage multiple tasks and deadlines
- Proficient in MS Office (Word, Excel, Outlook, Teams) and familiar with document management systems
- Advantageous: experience in a technical, engineering, or project-based environment
- Advantageous: exposure to contract administration, and knowledge of Accpac or Xero
- Strong organisational skills, attention to detail, and clear written and verbal communication
