About the Role The Administrative Assistant will play a vital role in supporting the Branch Manager and various departmental teams to ensure smooth daily operations at our Ndola branch. This position requires strong coordination skills, attention to detail, and the ability to manage multiple administrative tasks efficiently.
As the backbone of the branchโs administrative functions, you will facilitate communication across departments and assist in achieving branch objectives. Key Responsibilities for Administrative Assistant Jobs in Ndola Provide comprehensive administrative support to the Branch Manager, including calendar and meeting management, document preparation, and follow-up on action items.
Serve as a liaison between the Branch Manager and department heads to ensure effective communication and timely completion of tasks. Maintain organized and up-to-date records for clients, vendors, employees, and general operations.
Assist in preparing reports, presentations, and other documentation as required. Support tracking of departmental KPIs and report progress to management.
Monitor inventory levels and assist with procurement documentation and vendor coordination. Help enforce compliance with company policies and procedures within the branch.
Coordinate staff schedules, leave records, and timesheets in collaboration with Human Resources. Manage correspondence including emails, phone calls, and mail; draft responses and route messages appropriately.
Organize internal meetings, staff briefings, and logistics for site visits or client appointments. Maintain a professional, clean, and well-organized office environment.
Ensure confidentiality of sensitive information related to branch operations, staff, and customers. Provide general administrative support to all departments as needed.
Experience and Skills Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Ability to work effectively under pressure, meet deadlines, and maintain confidentiality.
Excellent verbal and written communication skills. Proactive attitude with a strong willingness to take initiative and support team objectives.
Experience supporting senior leadership is an advantage. Qualifications Diploma or Bachelorโs Degree in Business Administration, Office Management, or a related field preferred.
Minimum of two yearsโ experience in an administrative or office coordination role. Strong organizational and multitasking abilities with keen attention to detail.
